Client Services Agent
Sydney CBD or Melbourne CBD | Full Time | Hybrid
The BelRose Group has been exclusively engaged by VIQ Solutions to recruit a Client Services Advisor as part of its continued growth across Australia.
VIQ delivers secure AI-driven voice and video capture technology and specialist services to clients operating in highly regulated environments, including legal, criminal justice, insurance, government, corporate finance and media sectors. With a strong global footprint, VIQ combines advanced technology with deep industry expertise to support customers where precision, security and confidentiality are essential.
About the opportunity
Reporting to the VP Global Client Experience, the Client Services Agent is responsible for delivering exceptional client service across phone and email channels, while ensuring high levels of accuracy in order processing and data entry.
This is a fast-paced, customer-focused role where you will manage client enquiries, prepare estimates, process payments, and coordinate internally to ensure timely and accurate service delivery.
You will play a key role in maintaining complete and up-to-date records of client interactions and enhancing the overall client experience, contributing directly to the reputation and success of the business.
Hybrid working arrangements are available following training (subject to approved home workstation setup and manager approval).

Key responsibilities
- Taking inbound client phone calls and responding to enquiries
- Processing client orders with a high degree of accuracy in internal systems
- Preparing estimates and processing payments
- Managing client communications via email in accordance with service standards
- Coordinating with managers to confirm resource availability
- Monitoring order progress and proactively updating clients
- Maintaining accurate records of client interactions
- Providing efficient administrative support and processing activities
- Contributing to special projects as required
- Supporting continuous communication to identify and meet client needs
About you
- Excellent customer service skills with a positive, cooperative attitude
- Strong attention to detail and accuracy in data entry
- Ability to manage time effectively and meet deadlines under pressure
- Clear and professional written and verbal communication skills
- Proficiency in MS Office and Outlook
- Ability to learn new systems and software efficiently
- Strong interpersonal and problem-solving skills
- Customer-focused, adaptable and team-oriented
- Highly regarded:
- Understanding of legal terminology and court systems
- Experience using platforms such as Salesforce/Cortex, RingCentral or other ordering systems
